Delivery & Pickup Policy

At Vibrant Rental, we are committed to providing a smooth, reliable, and stress-free rental experience. To ensure timely service for all of our customers, please review our delivery and pickup policies before placing your order.

Delivery & Pickup Hours

Standard Delivery & Pickup Hours

  • Monday–Saturday: 7:00 AM – 6:00 PM
  • Sunday deliveries and pickups are available for scheduled events.

Office Hours

  • Monday–Friday: 9:00 AM – 5:00 PM
  • Closed on Saturdays and Sundays

After-Hours Service
Deliveries or pickups requested outside of our standard office hours may be subject to an additional after-hours service fee.

Example: If you request delivery at 6:30 AM on a Friday, an after-hours delivery fee will apply.

Delivery Locations & Access

Residential Deliveries

  • Rental items are delivered to the garage, driveway, front door, or another easily accessible ground-level location.
  • If backyard access is through a side gate, items will be placed just outside the gate unless setup service has been arranged.
  • Our delivery team cannot transport rental equipment through homes or across areas with limited access.

Commercial Deliveries

Additional labor fees may apply if our crew is required to:

  • Carry equipment upstairs.
  • Use freight or passenger elevators.
  • Transport equipment long distances from the unloading area.
  • Deliver to locations with restricted access.

Long Carry & Stair Access

Deliveries requiring transportation of equipment more than 50 feet from the truck or up stairs may incur additional labor charges. Please inform us of these conditions when placing your reservation.

Example: Delivering tables and chairs to a third-floor venue without elevator access will require an additional stair-carry fee.

Setup & Teardown

Professional Setup Included

The following rentals include professional installation by our team:

  • Tents
  • Dance Floors
  • Event Flooring
  • Stage

Standard Rental Equipment

Tables, chairs, linens, tableware, and most rental items are delivered stacked and ready for use.

Setup and arrangement services are available for an additional fee when requested in advance.

Teardown Requirements

Unless teardown service has been added to your order:

  • Tables should be folded.
  • Chairs should be stacked.
  • Linens should be placed in the provided linen bags (do not place wet linens in bags).
  • Rental items should be returned to the same location where they were delivered.

If our crew is required to collect items that have not been properly prepared, additional labor charges may apply.

Example: If chairs are left throughout the event space instead of being stacked, a teardown fee may be charged.

Pickup Requirements

To help us complete pickups efficiently:

Residential Pickups

Please place all rental items in the same accessible location where they were originally delivered, such as the garage, driveway, or front entrance.

Commercial Pickups

Rental items should be staged in the designated loading or delivery area used during drop-off.

If equipment is not accessible or requires additional labor to retrieve, additional charges or a return-trip fee may apply.

Equipment Care

Customers are responsible for protecting all rental equipment while it is in their possession.

Please do not:

  • Use tape, glue, nails, staples, screws, or adhesives on rental equipment.
  • Drag tables, chairs, dance floor panels, or staging across concrete or pavement.
  • Expose indoor-only items to rain or standing water.
  • Use rental equipment in a manner inconsistent with its intended purpose.

Premium furniture, specialty décor, linens, electronics, and similar items designated for indoor use must not be used outdoors unless specifically approved by Vibrant Rental.

Damage caused by misuse, weather exposure, negligence, theft, or loss will result in repair or replacement charges.

Customer Responsibilities

To ensure a successful delivery, customers are responsible for:

  • Providing accurate delivery and pickup information, including gate codes, stairs, elevators, long carries, and access restrictions.
  • Ensuring delivery areas are clear and accessible.
  • Having someone available during delivery unless other arrangements have been approved.
  • Contacting our office—not the delivery crew—for any schedule changes or special requests.
  • Inspecting rental items upon delivery and notifying us immediately of any concerns.

Additional Fees May Apply For

The following situations may result in additional charges:

  • After-hours delivery or pickup
  • Long carry (over 50 feet)
  • Stair carry or difficult access
  • Additional labor due to undisclosed site conditions
  • Table and chair setup or teardown services
  • Rental items not staged for pickup
  • Return trips due to inaccessible equipment
  • Damage caused by misuse, weather exposure, loss, or theft
